Welcome & framing: The moderator (or facilitator) states the purpose, agenda, and time limits.
Ground rules: Respectful listening, equal voice, no dominating, stay on topic.
Introductions: Brief introductions (with a tie-in to the leading topic).
Each person speaks for a fixed amount of time (e.g., 2 minutes).
No interruptions—ensures equity.
After the first round, open discussion builds on points raised.
Keep conversation balanced—draw out quiet participants, politely rein in dominant ones.
Paraphrase or summarize themes to keep clarity.
Keep the group on track with timing.
Ensure respectful, constructive tone.
Synthesis: Moderator highlights key takeaways.
Action items (if applicable): Assign follow-ups or determine future moderator or topic for future meetings.
Reflections: Quick go-around for final thoughts.
